Reports to ASM Project Managers and Group Operations Director

The project coordinator provides assistance to the ASM project managers, engineers and clients with the smooth running and co-ordination from sales to project completion ensuring customer excellence and project compliance is achieved.

Key tasks & Experience

Duties and responsibilities

  • Receiving job go ahead from the ASM sales team and process if compliant
  • Create project files on the server
  • Create hard copy installation and commissioning packs
  • Create O&M Manuals
  • Enter projects on to the projects list spreadsheet and ensure it is updated weekly
  • Ensure all sw/project invoicing is completed by PMS/FLMS
  • Process cad requests from pms to cad
  • Ensure service are updated with completed projects
  • Arrange training for ASM projects team
  • Assist with HR records for the asm project staff
  • Process MOFS to purchasing
  • Schedule installations with clients
  • Arrange access equipment to and from sites
  • Assist with processing sub contract orders and scheduling
  • Process supplier and sub contract invoices to PMS/FLMS to sign off for accounts to pay
  • Book accommodation for pms and engineers
  • Plot drawings for installation packs
  • General asm project administration
  • Achieving completed projects once all projects paperwork is received and processed
  • Process engineers time sheets
  • Assist ASM Service desk to cover for holidays and sickness
  • Manage to simpro system for projects
  • Any other duties specified by your line manager

KPI’s and Measures

  • Engineering
  • Achievement of all client SLA’s and KPIs

Client Relationship Management

  • Client feedback
  • Number of complaints and escalations
  • Projects scheduled in timely fashion

Compliance

  • All SLA’s are up to date and being achieved
  • 100% calibration record compliance
  • Full compliance as measured through the internal NSI audit process

Skills and Experience

  • Excellent communication skills, written and over the phone.
  • General interest in fire, security and IT would be advantageous
  • Willingness to learn new products or technologies in a fast-paced environment.
  • Good customer service skills.
  • MS office proficient

As part of the companies compliance to The Health & Safety at Work Etc Act 1974, ISO9001 for Quality and ISO14001 for Environmental, there are several key objectives that are issued each year upon management review that we expect all staff to work towards in order for the company to meet these objectives and include but are not limited to:

  • Compliance to associated accreditation bodies schemes from NSI, BAFE, LPCB, FIA and others as required.

  • Working to reduce, renew and recycle any waste on and off our sites including our offices
  • To protect the environment and ensure use of toxic materials is avoided where possible
  • Staff will work to a best safe practice and ensure that their actions do not cause harm unto themselves or others
  • Staff will not tamper with any issued PPE or plant machinery that it may cause harm unto themselves or others
